Who we are

Paul Mason trades as Mason Design (Masons.Design) and is responsible for the personal information described here. You can contact us at info@masons.design or write to Mason Design, 8 Hampton Drive, Felling, Gateshead, NE10 9EP, United Kingdom.

Information we collect

When you order, create an account, apply for a trade account or contact us, we collect the information you provide, such as your name, business name, email address, telephone number, delivery and billing address, order and personalisation details, and your enquiry or trade application. A trade application may also include business type, company or VAT number, website and notes if you provide them. The site and its security tools may record technical information such as IP address, browser details and cookies. Payment providers process your payment; we do not receive or store your full card number.

Why we use it and our lawful bases

  • We use order, account and delivery details to provide products and manage purchases and trade access (performance of a contract or steps you request before a contract).
  • We keep records needed for tax, accounting and other legal requirements (legal obligation).
  • We answer enquiries, provide support, protect the website and prevent misuse (our legitimate interests in running and securing the business, balanced against your rights).
  • We send optional marketing only when you have chosen to receive it. You can withdraw that choice at any time (consent).

Who receives information

We do not sell your personal information. We use service providers where needed to operate the website, communicate with you, take payments and deliver orders. These include our website hosting and WordPress/WooCommerce services, Zoho Mail for business email, payment providers such as Stripe or PayPal when used, and delivery companies. They receive only the information needed for their role. Some providers may handle information outside the UK; please contact us for details of any applicable transfers and safeguards.

How long we keep it

WooCommerce is configured to remove or anonymise personal information on the following schedule when it is no longer needed for processing:

  • Inactive customer accounts: deleted after 36 months without a login or order. Any orders are converted to guest orders.
  • Pending unpaid orders: moved to the bin after 30 days.
  • Failed and cancelled orders: moved to the bin after 12 months.
  • Completed and refunded orders: customer details anonymised after 7 years. We may retain accounting information for longer where the law requires it.
  • Stored Stripe customer and payment source identifiers: retained for 24 months.

Enquiries, trade applications and email correspondence are kept while we handle the matter and for any follow-up or legal need, then reviewed and deleted when no longer needed. Other records may be kept for a different period where a legal duty, dispute or valid request requires it. Copies in backups may remain until the backup is replaced under our backup arrangements.

Your rights

Depending on the circumstances, you may ask to access, correct, erase, restrict or receive a copy of your personal information, or object to its use. Some rights have legal exceptions, including where records must be kept. You can withdraw marketing consent at any time. Contact info@masons.design to make a request. You can also complain to the Information Commissioner’s Office (ICO).

Cookies

We use cookies needed for features such as the shopping basket and account login. Our site also displays a cookie choice for optional uses. See our Cookies Policy for more information. You can also manage cookies in your browser, although blocking essential cookies may affect checkout.
